    Personal Assistant to the Vice Chairman

    Job Field: Administration
    Level: Senior Level

    Job Description

    • Below is a brief description of the duties, however, this Job Description is by no means exhaustive as the PA may be required to perform additional duties from time to time.
    • Manage the Vice Chairman’s (VC) Diary
    • Supervise the Ladies-in-waiting to the VC.
    • Ensure thorough editing of the VC’s Manuscripts on any writing in progress.
    • Take dictation and type, including other office duties.
    • Handle the VC’s flight itineraries, visa processing, passport renewals, protocols, etc.
    • Travel with the VC at short notice if and when necessary.
    • Represent the VC at functions or meetings as may be needed from time to time.
    • Handle the VC‘s correspondences, emails, letters and other related correspondences.
    • Liaise with members of the VC’s Non-Governmental Foundation, Church Ministry and other subsidiary companies when required.
    • Liaise with sub-contractors of different projects on behalf of the VC.
    • Liaise with the Executive Directors as may be required.
    • Work with other members of staff on different projects as may be required.
    • Handle all matters related to the Foundation – Trustees, Staff and beneficiaries.
    • Handle all matters related to the ministries. These include but are not limited to:
    • Organize and prepare for monthly Prayer Retreats of the Church Ministry.
    • Organize and prepare for the weekly fellowship meetings.
    • Monitor and oversee all public relations and image-building affairs of the company, its subsidiaries, Foundations and management.
    • Organizing and monitoring a wide network distribution and sale of all management’s publications.
    • Ensure thorough editing of management’s manuscripts on any writing projects in progress.
    • Represent and/or accompany management at functions or meetings as may be required.
    • Ensure regular stock taking and proper documentation of all Management’s items in storage.
    • Generally, relieve the VC of work load and running errands as may be required from time to time.

    Requirements

    • Candidate must possess minimum of a B.Sc Degree in related disciplines;
    • Must have minimum of 5 years' experience in offering executive support as a PA or EA
    • Must be adept in the use of Microsoft Office Suite;
    • Must have verbal and written articulacy, professional discretion, efficiency, well-developed time management and strong organizational skills

    Salary
    N500,000 - 700,000 P/m.

    Head of Corporate Communications

    Description

    • Manage company brand
    • Develop internal and external publications such as newsletters, press releases, email announcements, planned publications, intranet, videos, special projects and assignments
    • Create rich and creative content that is optimized for search engines
    • Ensure the public views the organization favourably
    • Implement brand initiatives and strategies online
    • Coordinate and implement social media marketing communication projects, with responsibilities that include social media advertising and creating brand awareness
    • Website management with regular content update in line with various marketing campaigns of the group
    • Manage social media pages, including fan page building, daily monitoring, posting, and content development
    • Contact members of the media to set up interviews with company reps
    • Ensure that, all communications for the VC and management are fully vetted
    • Determine communication strategy and execute programs to deliver communications objectives throughout the organization
    • Develop communication strategies for the delivery of corporate culture and business strategies.

    Other Duties:

    • Internally, the head of communications will ensure that employees are aware of changes and projects within the company. Distribute executive messages, prepare presentations and conduct meetings to share information.
    • Develop print materials and branding strategies for employee use.
    • Externally, the head of communications will represent the organization to stakeholders, interested parties, and the public. Will serve as the company spokesperson to the media and the general public.

    Requirements

    • A bachelor's degree in relevant field
    • Minimum of 7 years relevant experience, preferably in corporate communication in the oil and gas industry
    • Interpersonal communications, as well as language and media studies.
    • Existing connections and relationships with the oil and gas industry stakeholders
    • Research, writing and proofreading skills to ensure all materials are high quality and accurate.

    Salary
    N800,000 - N1,000,000 P/M.

    Protocol & Logistics Executive

    Job Description

    • Identify, establish and communicate effective logistical procedures to be used in transport operations, ensuring all stakeholders are aware and follow company procedures while handling company vehicles.
    • Responsible for controlling, supervising and optimizing the allocation of duties to drivers and all staff under their charge to ensure high performance standards are maintained.
    • Experience/knowledge of Round the World Fare and fare rules while liaising with the company’s designated travel agent.
    • Obtain quotations from agents or various airlines to find the best flight prices, options, buy and refund airline tickets as requested. Check-in for flights, select seats per preference and communicate to the traveling staff.
    • The officer facilitates the travel of staff members going to other countries on official business. He/She secures their visas, medical insurance information for all travels including itineraries related to flights and accommodation as requested.
    • Manage databases of frequent flyer miles for directors and management; tickets and other important data.
    • Arrange hotels and airport transfers, travel packages in anticipation of travel for staff, management and contractors working on projects.
    • Provide periodic reports on expenditure and related information regarding travel.
    • Build and maintain cordial relationships with various Government agencies at international and domestic airports to facilitate effective meet and greet services.
    • The officer will assist with organizing events that involve international guest. He/she sends invitations and arranges to receive visitors; plan for their accommodation.
    • The protocol officer is expected to plan the timetable of foreign visitors. He/She arranges for transportation where necessary and ensures the visitor’s schedule does not suffer from complications and delays.
    • Provide protocol to clients at the airport both international and domestic
    • To deal with Immigration Authority and airport security force for clearance of clients.
    • Arrange collection of travelers and baggage.
    • Ensure speedy passage through airport - process travel documents.
    • Make airport arrangement pick up and drop; Supervise escort patrol.
    • Protect clients from extortion or harassment by airport authorities.
    • Transfer passengers through the airport.
    • Assist with other office function when less busy with travel arrangements.
    • Willing to work outside office hours.

    Requirements

    • Degree in Social Sciences/Business Administration
    • Diploma in Travel IATA
    • Diploma in Logistics is an added advantage.
    • 5 -7 years working experience in the travel industry with good working knowledge of ticketing and travel logistics.
    • Extensive knowledge of the airline industry and the foreign embassies/Visa Application Agencies.
    • Exhibit a high level of initiative, objectivity, integrity and commitment.
    • Good team spirit and human relations management.
    • Good negotiation and communication skills both written and spoken, email etiquette, invoicing.
    • Good organizational and management skills, an analytic mind and good numeracy skills.
    • Good diplomacy skills and tact in dealing with team members, tired drivers and colleagues.
    • Outgoing and confident with a pleasant personality; independent and self-motivated.
    • Proficient with Internet use, MS-Office and good problem-solving skills.
    • High attention to details and a team player.

    Salary
    N300, 000 - N400, 000 P/m.
