    Executive Assistant

    Responsibilities:

    • Act as the point of contact between the Director, other executives, employees, clients and other external partners
    • Manage information flow in a timely and accurate manner
    • Screen and direct mails, phone calls and correspondences
    • Handle requests and queries appropriately
    • Manage calendars and schedule meetings & appointments
    • Make travel and accommodation arrangements
    • Rack daily expenses and prepare weekly, monthly & quarterly reports
    • Oversee the performance of other clerical staff
    • Act as an office manager by keeping up with office supply inventory
    • Format information for internal and external communication – memos, emails, presentations, reports
    • Take minutes during meetings
    • Organize and maintain the office filing system

    Person Specification:

    • First Degree from a reputable higher institution of learning
    • Proven work experience as a Personal Assistant, Executive Assistant or related role in a service-oriented environment.
    • Knowledge of office management systems and procedures
    • MS Office and English proficiency
    • Outstanding organisational and time management skills
    • Ability to multitask and prioritize daily workload
    • Excellent verbal and written communications skills
    • Verifiable experience in maintaining discretion and confidentiality
