    Duty Scheduler

    Job Summary

    • Establishes, maintains and reviews schedules; matches available staff to posts; prints and distributes duty schedules; minimizes avoidable overtime; contacts and deploys staff to fill call-offs; responds to schedule changes and client request; inputs information into automated resource system; takes and logs calls from sites.
    • The employees’ primary job function is scheduling the duties of security officers.

    Essential Functions

    • Schedules security officers and supervisors at client sites; manages the scheduling process to optimize operating results and to keep avoidable overtime (AVOT) to a minimum; resolves staffing issues and problems as directed by the operations manager/management.
    • Maintains site coverage at all times; tracks requests for time-off including vacation and personal leave requests to ensure adequate site coverage; responds to emergency situations, call-offs, and absences to ensure that client sites are effectively covered; receives and documents calls from remote locations.
    • Ensures that accurate timekeeping, payroll, and billing data is posted in the automated, or manual resource system; verifies billing and payroll reports and corrects discrepancies; interfaces with accounts receivable and payroll departments to make corrections.
    • Maintains current knowledge of site contracts and of requirements of security officer training, availability and time worked, and of client exclusion lists.
    • Coordinates scheduling changes with Operations manager/ management, supervisors, and staff; serves as a liaison with clients and branch management supervisors and staff in resolving scheduling, training, billing and payroll problems.
    • Ensures that an adequate on-call security manpower is available (at all times) to cover vacancies created by absences and call-offs.
    • Coordinates the daily schedules and assignments of field supervisors; brief supervisors on changes to post schedules, and new security officer schedules.
    • Advises branch management and/or Human Resources staff of openings as they occur; assists in screening security officer candidates; interviews new security officers to ascertain their readiness, competence and availability for various shifts; matches security officer with site requirements and qualifications.
    • Recommends removal of security officers from posts based on clients complaints, attendance problems and other performance issues; advises branch Operations manager of any staffing problems that may arise as client requirements change.
    • Maintains records of security officer qualifications certifications and trainings, and coordinates on-site training requirements with site supervisor to meet clients needs.
    • Manages keys, and equipment control process.
    • Performs tasks and duties of a similar nature and scope as required for assigned office.

    Education/Experience

    • B.Sc or HND, or a Higher Diploma in Security Management from a government accredited university.
    • A minimum of 2 years of related experience, or equivalent combination of education and experience sufficient to perform the essential functions of the job, as determined by the company.

    Expected Qualities/Competencies:

    • Understanding of security Operations
    • Ability to maintain professional composure when dealing with unusual circumstances.
    • Ability to demonstrate mathematical concepts including computation of rates, ratios, percentages, averages and reconciliation.
    • Ability to understand and provide instructions in written, oral, diagrammatic or schedule form.
    • Ability to use personal computers and office productivity software effectively in executing tasks.
    • Ability to write logs, situation and incident reports.
    • Ability to plan, organize, and possess leadership skills.
    • Ability to communicate clearly and concisely in English language, and in other learned codes of the profession, e.g. Body language, 2-way Radio communication phonetics etc.
    • A good and effective team player
    • Courteous, and must possess good telephone etiquette.
    • Must possess a strong customer service and good orientation for quality service delivery.
    • Must possess strong interpersonal skills, with the ability to interact effectively at various social levels and across diverse cultures.
