    Receptionist & Customer Service Representative

    Job Summary:
    To manage the reception and interface with visitors to, and enquiries for, Livespot.
    Providing excellent customer service by interfacing with Livespot’s potential and actual customers, and handling their enquiries and any complaints in an exemplary manner at all times.

    To support the Admin / Front Desk Officer as required.
    Principal Duties & Responsibilities:

    • Being present at and manning the reception professionally at all times.
    • Interfacing with expected and unexpected visitors, handling each in a professional and efficient manner at all times; providing a gatekeeper function for unwanted visitors and acting as a receptionist and taking care of wanted visitors.
    • Handling incoming enquiries (in person, by phone, email, fax or letter) and fielding them with the right person or department, including responsibility for the enquiry and responding to the enquirer until the enquiry is fully in hand by the appropriate person. Ensuring that the reception and public areas of the company premises are maintained and presented at world class standards at all times. This includes arriving before opening hours to double check cleanliness, ambience, and leaving after closing hours to ensure tidying up, etc.; managing the types and levels of refreshments, sundries and stationery required to provide a first-class reception experience for all visitors and staff.
    • Managing and maintaining efficient and accurate records of visitor and staff movement, deliveries and collection at all times.
    • Providing clerical and administrative support to the Admin / Front Desk Officer, for instance, photocopying, filing, and organising deliveries and collections.
    • Handling desk-based administrative duties for the company including coordinating the booking of the company’s facilities and arranging internal and external meetings.
    • Providing help and advice to visitors, potential customers and actual customers. Communicating the ‘unique selling proposition’ of Livespot at all times.
    • Handling and solving any customers' problems and complaints.
    • Learning about Livespot’s products and services and keeping up to date.
    • Developing customer service procedures, policies and standards, feedback or complaints procedures.
    • Data capture of potential customers, and the keeping of accurate records of customer interactions and discussions and the filing of in-bound documents and correspondence.
    • Preparing, activating and managing CRM and market research activities designed to grow customer database and attract new sales leads.
    • Undertaking any necessary duties to ensure a first class service is provided at all times.

    Qualifications, Competencies & Skills Required:

    • HND, OND or equivalent qualification in Administration or minimum of 3 years previous receptionist / customer service / secretarial experience.
    • Experienced Microsoft Office user, particularly Word, Excel, PowerPoint and Outlook.
    • Competent Internet, email and Google applications user.
    • Sound knowledge of the entertainment and creative industries in Nigeria.

    • An organised and assertive individual who is proactive, creative and resourceful.
    • An outstanding team player and self-starter, able to work on own initiative with minimum supervision.
    • Excellent organisational skills.
    • Great at staying calm and diplomatic under intense pressure.
    • Able to manage own time and prioritise work to ensure that deadlines are met and targets achieved, and take personal responsibility for own work and actions.
    • Able to work within a secure and confidential environment, maintain confidentiality and demonstrate tact and diplomacy at all times.
    • Able to work accurately with excellent attention to details at all times.
    • Ability to liaise with staff at all levels, both internally and externally.
    • Demonstrating strong interpersonal skills and a professional manner and approach at all times including an equable temperament, a neat appearance and neat handwriting.
    • Able to cope well under pressure from competing priorities, unpredictable requests and interruptions.
    • Keenly interested in the marketing, creative and entertainment industries and production and understands the terminology and nuances of the industry sector. Key Performance Indicators:
    • Professionalism of the company’s reception and the quality of first impressions. Efficiency of handling customer enquiries and resolving complaints as indicated by satisfaction polls.
    • Quality of specific deliverables.
    • Internal customer satisfaction.

    Location:
    Lagos, Nigeria; plus other locations as required. Working Hours:
    07:30 to 18:00 Mondays to Fridays.
