    Operations Officer

     

    Details:

    We are recruiting for the role of Operations Officer. The primary duty of the individual is to manage the entire life cycle of production ensuring adequacy and availability of resources for job task.

    The individual will be responsible for the following:-

    • Collate all printing job task from all clients and catalogue appropriately
    • Allocate tasks to staff based on availability, quantity, specialization etc
    • Monitor the use of resources for the printing job ensuring that the right quantity is used
    • Constantly monitor stock levels of printing materials and other items on the shelf to avoid stock-out
    • Ensure all stock items are kept properly and are easily accessible for retrieval
    • Manage the issuance of stock items
    • Engage in regular stock count and match physical items to recorded items
    • Make order of purchases for items upon attainment of re-order level

    The must possess the following skills:

    • Excellent communicator
    • Strong administrative skills
    • Abilty to interract with all levels of staff

    Front Desk Officer

     

    Details:
    We are recruiting for the role of Front Desk Officer. The primary duty of the individual is to act as the first point of service to visitors providing excellent customer service. The individual is responsible for handling front office reception and administration duties, including greeting receiving calls, handling inquiries, managing correspondence.

    The individual will be responsible for the following:-

    • Meet and greet all individuals warmly that walk into the company ensuring that the company’s Brand is expressed in relations to such
    • Receive all mail correspondence for the company and channel appropriately and adequately ensuring that no mail is overlook
    • Manage visitors, calls and enquiries directing such to the appropriate channel
    • Managing the reception area ambience and ensuring that the office area is neat and attractive
    • Provide first level advise on prices to the prospective clients from the price list and further referring clients to the Business Manager
    • Escalate all difficult issues to the Business Manager
    • Restrict movement of visitors within the office premises
    • Handle administrative role with regards to general office management
    • Engage in regular stock count and match physical items to recorded items
    • Make order of purchases for items upon attainment of re-order level

    Personal Assistant

     

    Details:
    We are recruiting for the role of Personal Assistant. The purpose of this role is for the individual to coordinate and ensure smooth running of the Organisation

    The individual is responsiblr for the following:

    • Provide administrative support to the Managing Director/ CEO and the company including scanning, filing, data entry, copying, setting up meetings and ensuring compliance
    • Manage office operations of Administration office including office supply ordering, point person on copier/other office equipment repairs and maintenance
    • Read, prioritize, and draft emails on behalf of the CEO
    • Plans, coordinates and ensures the CEO schedules are up to date with accurate and timely information
    • Assist in managing customer and employee relationships
    • Make preparation, set-up and follow-up on meeting/event
    • Takes note and minutes of meetings that take place in the office
    • Ensure that the office is neat always and conducive for work
    • Inspect the office to ascertain resources are always available in good quantity in the office
    • Monitor use of company resources in ensuring effectiveness
    • Ensure that reports are sent to the CEO promptly
    • Act as company representative in handing third parties and vendors
    • Review in coming correspondence to the company
    • Assist with general correspondence, including drafting letters, to ensure conformity to standards
    • Coordinate the proper reception of visitor and clients to the company
