    CarpartsNigeria Incorporated is recruiting to fill the position of:

    Office Manager

     

    Job Description
    Office Management/Building Facilities:

    •     Monitor performance and billing from agents and service providers. Negotiate contracts and establish corporate accounts
    •     Review office and agent requirements on an ongoing basis and deal with any clients as required Provide executive level administrative support (prepare correspondence, interface with clients, assist with incoming telephone calls, copying, filling, faxing, scanning , mail etc).
    •     Schedule and co ordinate internal and external meetings
    •     Liaise with Management regarding daily agent responsibilities, attend relevant meetings and review and approve service charges.
    •     Ensure compliance with all terms of office and client contracts including awareness and reviews, Subscription options and daily development of our platform.
    •     Implement the company's security policies and follow procedures with regards to the company's business continuity plan, liaising with management to ensure compliance and efficiency
    •     Participate in conference calls led by management and Administrator to discuss administrative matters
    •     Liaise with chief Account executives with regard to vendor subscriptions, Buyers and Sellers
    •     Manage office archiving and file management systems
    •     Order all Lagos office corporate stationery, ensuring compliance with the company's style guide rules and regulatory requirements and maintain regular stocks
    •     Co-ordinate social events as required
    •     Responsible for maintaining a presentable office area and meeting rooms
    •     Monitor supplies and maintain regular stocks
    •     Work with other office managers across the other company regions as required
    •     Other duties as required to ensure the smooth, efficient running of the office

    Key Requirement

    •     A Bachelor's Degree
    •     A hands-on professional who is energetic and personally engaged in the delivery of advice.
    •     An individual who proactively spots opportunities and problems, can synthesise the commercial and political realities and effectively engage with a range of stakeholders with business and Government
    •     Some Experience with administration and working with agents and vendors.
    •     Some experience with planning, organising and servicing internal and external meetings, Annual General Meetings, and corporate away days.
    •     Basic knowledge of Automobile
    •     Excellent verbal & written reporting & communication.
    •     Good time management with the ability to plan effectively, prioritise and complete work to deadlines.
    •     Meticulous approach to detail.
    •     Excellent IT skills, including MS Word, Excel, PowerPoint, and document management systems.
    •     Excellent interpersonal skills & able to work effectively with people from a diverse range of Nationalities & backgrounds, including board members.
    •     To ability to both strategically and tactically ensure confidentiality of documents, conversations and decisions at all times.
    •     Effective in a small and multi-functional team.
    •     Budget management skills.
    •     Able to attend meetings off-site and occasional meetings outside usual office hours.
    •     Ability to take further responsibilities as may be required Group wide, and delegated by the Board from time to time.

    Secretary

     

    Key Aims and Objectives

    •     Organise and Manage the Company Secretary functions for the Group.
    •     Ensure the highest levels of Corporate Governance processes are implemented and followed.
    •     Implement and manage a world class corporate document management system.
