    Job Summary

    • Manage, administrative and material resources for the smooth organizational functioning and effective NHF education projects implementation, he/she will be coordinating and providing technical administrative and logistics support to the project staff.

    Duties/Responsibilities:

    Administrative.

    • Prepare and draft all administrative letters, documents for memorandum of understanding (MoUs), internal and external notes, and regulations.
    • Coordinate and manage day to day administrative related activities with staff and visitor’s attendance recording
    • Conduct and lead meetings, trainings, schedules and other official activities.
    • Be responsible for managing internal and external queries, ensuring that massages are recorded and reported in a timely manner, including contacts with staff and managers
    • Maintain an up to date GHIV Africa personnel files
    • Manage Office supplies and place orders
    • Distribute and store correspondence e.g. letters, emails and packages
    • Participate in all recruitment processes
    • Arrange travel and accommodation

      Logistics and Procurement.

    • Keep records of all procurements transactions both electronically and manually in line with to GHIV Africa policies.
    • Keep quarterly update of the inventory list stock in store, assets and office gadgets in line with GHIV Africa policies.
    • Coordinate and manage fleet, check drivers and make sure they working in line with the SOPs and security standards for GHIV Africa.
    • Ensure there is available power in the office and maintain generators
    • Supervise and coordinate office assistants and security at the office premises.
    • Provide day-to-day support to staff in general office operations and identify future needs.
    • Perform logistics and procurement operations – Selection of vendors/suppliers
    • Prepares and Maintain records of all outstanding purchase orders with external vendors and arranges transportation and forwarding services for all orders to ensure delivery on schedule
    • Provide field logistics information for documentation of purchase for program financial expenditures support the preparation of program audit reports.
    • To work as part of a team; providing support where necessary in other administrative, and logistics management.
    • Provision of supervision to logistic activities including staff facilitation in terms of office management.
    • Support in preparing drawings of RFQs and dealing with tendering and contracting of vendors
    • Facilitate as per resource in term of logistics for offices.
    • Maintain an up to date GHIV Africa’s Fixed Assets Register

        Technical expertise, Skills, Knowledge, and competencies:

    • Qualification: BA/BSc/HND Logistics and procurement, Public Administration, Business management, Accountancy, Supply Chain, and any other related field
    • Minimum of 3 years’ relevant work experience Admin, Logistics, procurement with an NGO.
    • Good with IT related activities, good computer skills, and competent with Microsoft suit especially Excel, Access, Outlook, PowerPoint etc.
    • Ability to write good, clear and concise report, good command of English in reading, writing and speaking, and ability to speak at least in Hausa.
