    ICT4D Admin Support (Temporary Hire)

    Context

    • The annual ICT4D Conferences, founded in 2010 by Catholic Relief Services (CRS) and now managed by a consortium of non-governmental and private sector organizations, have proven to be an invaluable opportunity for NGOs, private sector organizations, universities, governmental agencies and foundations to share their experience in using ICT to increase the impact of development programs and to learn from each other.
    • The 12th ICT4D Conference will take place at the Sheraton in Abuja from April 21-23, 2020.
    • Led by Catholic Relief Services, the Conference is organized in collaboration with a Partner Consortium and attracts a wide range of VIPs and high-profile speakers.

    Specific Job Responsibilities

    • Liaising with the venue and managing local suppliers to ensure a successful event
    • Communication with other partner hotels and overseeing partner relations with those hotels (continue communication with hotels, gain updates/oversight on booking from conference participants (ca 1 email per month), by April 1 confirm shuttle service times and call all hotels by April 16 to reconfirm shuttles)
    • Researching and contacting local suppliers for quotations, assist with negotiations and supplier management
    • Assisting in planning and managing of side events and the exhibition
    • Recruiting and manage conference volunteers
    • Assisting with coordination of the VIP campaign (sending out invitation letters, managing RSVPs and pre-event communication)
    • Assist with attendee enquiries and FAQs, e.g. guide conference participants in securing visas, registering for the conference, and booking local transportation and accommodations
    • (oversee shared email box for admin questions)

    Coordinating with and manage vendors involved in:

    • Hotel accommodation
    • Conference venue & catering
    • Floor managers & ushers
    • AV
    • Transport and shuttle buses
    • Conference branding (banners, backdrops)
    • Conference brochure
    • Other conference materials: t-shirts, bags, etc.

    Qualifications and Skills

    • ICAN or equivalent professional qualification (CA, CPA, ACCA) strongly recommended
    • Master's Degree in Administration, Accounting or Finance, Organizational Development, Management or another relevant field
    • Minimum of ten (10) years experience in non-profit Accounting and grant management, preferably with an International Organization, with at least 6 years experience at the management level.
    • Must be a, self-motivated, problem solving individual with high levels of initiative
    • Good understanding of Global Fund policies and guidelines is required
    • Thorough knowledge of best practices in capacity strengthening with prior experience of integrating this with programming; experience in curriculum design and development.
    • Excellent experience in budgeting and budget management
    • Demonstrated ability to transfer knowledge to diverse audiences through participatory adult learning, mentoring, distance education, and other formal and non-formal methods; experience in the design of and delivery of training workshops
    • Must demonstrate a good understanding of contemporary management best practices
    • Strong leadership and interpersonal skills, demonstrating diplomacy and tact
    • Strong organizational skills and attention to detail
    • Demonstrate excellent written and oral communication skills
    • Excellent knowledge of computer software – MS Office (PowerPoint and Excel especially), experience with SunSystems, Adaptive Planning, Salesforce and JD Edwards software a plus
    • Must be flexible and can work independently and as part of a team
    • Willingness and ability to travel in-country (sometimes on short notice) up to 50%

    Key Working Relationships:

    • Internal: Management Team, Finance staff, Program staff in other CRS Country Programs.
    • External: Representatives of other Projects, Contractors, Government representatives and clients of the CRS Nigeria Program.
