Job Purpose
The Executive Personal Assistant holds responsibility for strategic, operational planning and management of the CEO’s calendar and personal administration. The Executive PA plays an important role and works closely with CEO to provide administrative support, on a one-to-one basis dealing with secretarial and administrative tasks.
It is the Executive PA’s responsibility to ensure all activities, practices and procedures reflect CEO’s mandate and goals.
KEY RESPONSIBILITIES
1.Providing administrative support by coordinating meetings, generating reports, anticipating needs and providing timely solutions.
2.Supervising all incoming correspondence to the CEO and allocating/utilising office resources as required effectively
3.Supervising and managing the filing, storage and security of documents.
4.Co-ordinating drafting of agenda and ensuring that all papers are prepared on schedule and conform to the highest standards.
5.Applying the principles and techniques of administrative management including organization, planning, staffing, training, budgeting, and reporting.
6.Checking deadlines on incoming requests and put preliminary work in play.
7.Planning travel logistics & itinerary and managing CEO’s calendar
8.Acting as the CEO’s first point of contact with people from both inside and outside the organisation.
9.Devising maintain office systems, including data management and filing; arranging travel, visas and accommodation and, occasionally, travelling with the CEO to take notes or dictation at meetings or to provide general assistance during presentations;
10.Screening phone calls, enquiries and requests, and handling them when appropriate;
11.Meeting and greeting visitors at all levels of seniority;
12.Organising and maintaining diaries and making appointments;
13.Dealing with incoming email, faxes and post, often corresponding on behalf of the CEO;
14.Taking dictation and minutes, carrying out background research and presenting findings; produce documents, briefing papers, reports and presentations;
15.Organising and attending meetings and ensuring the CEO is well prepared for meetings;
16.Liaising with organization's stakeholders and other staff.
17.Carrying out specific projects and research;
18.Responsibility for accounts and budgets; Representing the CEO, making decisions and delegating work to others in the CEO’s absence; being involved in decision-making processes
