    Procurement Assistant (COR)

    Summary:

    The U.S. Embassy in Abuja is seeking eligible and qualified applicants for the Procurement Assistant (COR) position in the General Services Office.  

    Duties

    The incumbent shall provide administrative and clerical support to the Contracting and Procurement Office. Maintains and manages Procurement & Invoice trackers and also processes invoices. The position doubles as the Sectional Occasional Cash Holder and shall visit local sources for petty cash purchases. The position provides administrative and clerical assistance to the Procurement Section including but not limited to the preparation of letters, memos, reports and spreadsheets and invoice processing.

     

    The incumbent will visit local sources for petty cash purchases. Maintains effective file management and retrieval system of all purchase requests, answers telephone, and schedules appointments for the Procurement section. Follows up on all high-profile procurement actions. The incumbent will research on problematic procurements and resolves any payment issues with vendors.

    The incumbent performs secretarial duties to the Procurement Supervisor and Contracting Officer. Oversees the request from Warehouse and issuance with control of the department’s expendable office supply needs. Plans accordingly in order to meet all deadlines. May be required to work weekends and holidays.

    Requirements:

    • All selected candidates must be able to obtain and hold a Public Trust Security Clearance. 
    • All selected candidates will be subject to a background investigation and, may be subject to a pre-employment medical exam.
    • Selected candidate must be able to begin working within a reasonable period of time (6 weeks) upon receipt of agency authorization and/or clearances/certifications or their candidacy may end.

    Education Requirements:

    • Bachelor’s degree in Mathematics, Statistics, Business Studies, Public Administration, or Sociology is required.

    Experience: Minimum of two (2) years' experience in clerical/administrative work in the purchasing field is required.

    Skills And Abilities:

    Must have experience in communicating directions orally and in writing to customers. Must be well organized, must have the ability to extract complex data and prepare easy-to-read reports/spreadsheets for users. Must be a self-starter and be able to come up with best practices to improve efficiency of the program and better ways to communicate with customers. Proficiency in the use of MS Word, Excel Spreadsheets & Power Point is required (This will be tested). Must be able to type 40WPM where speed and accuracy is required (This will be tested).
