    Executive Assistant to the Director

    • Our client, a prominent Family Office, is looking to hire an Executive Assistant to the Director provide strategic leadership and operational excellence in support of the Director.
    • This multifaceted role includes overseeing the overall functioning of the Office, facilitating creative initiatives, managing resources, ensuring seamless stakeholder engagement, instituting robust systems and processes, and managing a team.
    • The Executive Assistant will also serve as a representative of the Director and oversee travel and logistics, making informed decisions in the Director's absence.

    Responsibilities

    Strategic Oversight:

    • Contribute to the development and execution of strategic plans and initiatives that align with the Office’s long-term vision and objectives.
    • Establish and oversee systems and processes to ensure the implementation of strategies and long-term planning.

    Financial Stewardship:

    • Oversee the Office’s budget and ensure meticulous financial record-keeping, managing both income and expenses.
    • Implement financial management systems to improve decision-making and resource allocation.

    Operational Leadership:

    • Implement and optimise efficient systems and processes for day-to-day administrative tasks, including scheduling, correspondence, and document management.
    • Ensure compliance with employment laws and regulations, overseeing staffing needs, recruitment, and training of employees and volunteers.
    • Lead and manage a team of professionals, providing direction, guidance, and support.

    Project and Campaign Management:

    • Collaborate on creative projects, campaigns, initiatives, and events, infusing innovative thinking into all activities.
    • Develop and implement systems for project management, tracking, and reporting.
    • Stakeholder Engagement:
    • Cultivate and maintain relationships with key stakeholders, including government officials, religious leaders, and industry luminaries.
    • Establish communication systems to facilitate open and productive cooperation among various stakeholders.

    Travel and Logistics:

    • Oversee all travel arrangements, including itineraries, accommodation, and transportation for domestic and international travel.
    • Implement logistics systems to ensure the smooth execution of travel plans.
    • Representational Duties:
    • Act as the official representative of the Director at meetings and events, effectively conveying the Director's vision and objectives.
    • Develop a system for maintaining consistency and alignment in representation.

     Decision-Making Authority:

    • Make informed decisions on behalf of the Director during their absence, demonstrating sound judgment and adherence to the Office’s values and principles.

    Qualifications

    • Bachelor's degree in a relevant field.
    • Proven experience in strategy and administration, with a focus on strategic functions in leadership or senior management roles.
    • Familiarity with financial management principles and financial stewardship.
    • Knowledge of legal and regulatory requirements.

    • The Executive Assistant will not only contribute to strategic decision-making and stakeholder management but will also institute robust systems and processes and provide leadership for a team.
    • This role is integral to realising the Office’s long-term goals, maintaining high operational standards, and achieving sustainable success.
