An Accounts Assistant is a junior-level accounting professional responsible for providing support to the finance department in various accounting and administrative tasks, such as bookkeeping, invoicing, accounts payable/receivable, and financial record maintenance

Job Brief:

As an Accounts Assistant, you will assist with day-to-day accounting activities, ensuring accurate and timely processing of financial transactions, maintaining financial records, and supporting the finance team in financial reporting and analysis.

Responsibilities:

  • Assist with the preparation, processing, and maintenance of financial records, invoices, and documents.
  • Enter and reconcile financial transactions, such as invoices, payments, receipts, and journal entries, in accounting software or spreadsheets.
  • Verify and reconcile accounts payable and accounts receivable transactions, resolving discrepancies and ensuring accuracy.
  • Prepare and process invoices, purchase orders, expense reports, and other financial documents for approval and payment.
  • Monitor and follow up on outstanding invoices, payments, and receivables, communicating with customers and vendors as needed.
  • Assist with bank reconciliations, cash flow management, and petty cash handling, ensuring proper documentation and recording of transactions.
  • Maintain accurate and up-to-date financial records, ledgers, and files, organizing documents and data for easy retrieval and reference.
  • Assist with month-end and year-end closing activities, including preparation of financial statements, schedules, and reports.
  • Assist with budget preparation, variance analysis, and financial forecasting, providing support to finance managers as needed.
  • Support internal and external audits, providing documentation, explanations, and assistance to auditors as required.
  • Collaborate with other departments, such as purchasing, sales, and operations, to gather financial information and resolve accounting-related issues.
  • Respond to inquiries from colleagues, vendors, and customers regarding financial transactions, account balances, and payment status.
  • Assist with financial analysis, reporting, and presentation of financial data, trends, and insights to support decision-making.
  • Stay updated on accounting principles, regulations, and best practices, and apply them to ensure compliance and accuracy in financial reporting.
  • Perform other administrative tasks and special projects assigned by the finance manager or supervisor to support departmental goals and objectives.

Requirements and Qualifications:

  • Bachelor's degree in accounting, finance, or related field; associate's degree or relevant certification may be acceptable.
  • Previous experience in accounting, bookkeeping, or finance roles is preferred but not required for entry-level positions.
  • Proficiency in accounting software, such as QuickBooks, SAP, or Microsoft Dynamics, and Microsoft Excel.
  • Strong attention to detail and accuracy in data entry, record-keeping, and financial calculations.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Good communication and interpersonal skills, with the ability to work effectively with colleagues and stakeholders.
  • Analytical mindset and problem-solving abilities, with the capacity to identify issues, research solutions, and propose recommendations.
  • Ability to work independently with minimal supervision and as part of a team in a collaborative environment.
  • Knowledge of accounting principles, financial regulations, and reporting standards, such as GAAP or IFRS.
